Saint Michael the Archangel Parish is seeking a Full-Time Parish Secretary to be the first point of contact, in Christian Charity and hospitality, for those seeking parish assistance.
The parish secretary will serve in the following secretarial and basic bookkeeping tasks:
- Maintain parish Sacramental Records according to the current Diocesan Canon Law Handbook for Parishes, and the Parish Administration Handbook
- Maintain parish schedule of services – Masses, Baptisms, Matrimony, funerals, burials, receptions, religious education, committees, councils, and other parish events
- Maintain cemetery burial records, and manage contacts between funeral directors, clergy, and cemetery committees
- Schedule appointments for meetings, events, and receptions, with clergy, staff, and volunteers,
- including time-sensitive calls for clergy to attend to the faithful in hospital, care homes, or hospices, and
- including tracking of correspondence, contacts, meeting minutes, and other documentation
- Schedule Mass Intentions, and collect Mass Offerings, according to Appendix III of the Diocesan Canon Law Handbook for Parishes
- Compile parish bulletin items from:
- the Diocese,
- other parishes,
- parish ministries (Catholic Women’s League, Knights of Columbus, Saint Vincent de Paul society, Parish and Finance Councils, fundraising, counters, and liturgical ministries),
- requests through the office, from parishioners or others
- Print parish bulletins weekly (current distribution is approximately 400 copies)
- Assist parish clergy, staff, and volunteers with administrative tasks
- Bank deposit tracking and bank reconciliation
- Parishioner donation accounting and charitable receipting
- Processing donations and income, and transfers to appropriate accounts (parish, church, diocese, organization, cemetery, special collections and remittances)
- Payroll, expense, mileage, and stipends processing
- Paying bills promptly
- Ordering supplies, and
- Working with parish priests, staff, accountant, and the Finance Council to ensure efficient and transparent bookkeeping for the parish.
